The Party Prep Plan: Curated Supplies for Seamless Events

Let’s be completely transparent before we dive into this list: I do not love the massive amounts of waste that weddings and events can create, and I am generally not a fan of over-purchasing from Amazon. Whenever possible, I highly recommend checking local Facebook Marketplace groups, borrowing from friends, or repurposing items you already have at home (like a simple basket for cards).

That being said, I also live in the real world of event planning. I know that sometimes you just need a few easy logistical wins, for things to arrive fast, and a reliable backup plan. Most of these items can be returned easily if they go unused, making them great safety nets for your event day. I’m also sending out links so often anyway, so I thought I might as well make the list public for everyone.

Weather & Comfort Backups

  • Clear Umbrellas: Do not let a sudden downpour ruin your photos. Having a batch of clear umbrellas on hand keeps you dry without blocking the light or making you look mismatched in pictures. Keep boxed; return if not needed!

  • Weather Relief: Classic paper hand fans if we are battling a humid Midwestern summer day, or simple rolled blankets if the evening chill catches your guests off guard. Whatever we don’t need to unbox, you can return.

Reception & Signage Setup

  • Frames for Signage: Clean, simple frames to hold your bar menus, hashtag signs, or schedules. And don’t be afraid to get better quality ones – afterall – after the event, you’re very likely to need some picture frames anyway! Gallery wall anyone? Oh, and look for “real glass” – avoid the plexiglass!

  • Card Box or Basket: A secure spot for cards. (But seriously, check Facebook Marketplace first – everyone buys the same box and sells it the week after their event!). I’m not even going to list them, but here are the ones everyone buys if you just need to check it off the list! Gold Rim Rectangular BoxGold Rim, Terrarium Style.

  • Glass Votive Candle Holders: Ambiance is everything, but safety comes first. Most venues strictly require tea lights to be fully enclosed in glass to stay compliant with fire codes. Buy the K&Co. 24-48-pack of these (or goldie locks it in the middle with a 36 pack here) skip the florist and save a little, and we’ll spread them out everywhere. These are such a great element that adds life, energy, and ambiance to even the side tables (gifts/cards/dessert) and the bar you didn’t think you needed, but they add so much to the vibe in the end :).

Reception Logistics & Hospitality

  • Amenities Baskets: A lifesaver for guests. Fill these with mints, hairspray, safety pins, and band-aids to keep everyone feeling fresh.

  • Dancing Flip Flops & Display Basket: When the high heels come off, the party stays alive. Drop a variety of sizes into a cute basket next to the dance floor. And again, dont’ be afraid of color – people are more likely to keep them longer if they aren’t white (which get dirty/look gross after one use).

Seating & Ceremony Logistics

Keepsakes & Kid-Friendly Ideas

  • Polaroid Camera + Film: This trend is huge right now because it’s genuinely fun. (I even keep one in my personal kit!). Leave it by the guest book for instant, tangible memories. And again, something you can keep for years to come and bring to all your future family & friend gatherings (I do!).

  • Custom Kids’ Packs: Keep the youngest guests entertained during speeches. Fill a small pack with crayons and a fun coloring book (bonus points if you can source a cute, locally relevant Minnesota coloring book!).
